Example of Inquiry Letter to Make a Step in the Right Direction

Inquiry letters (also known as a letter of interest) can be written on many occasions. It may be written by a candidate that is seeking for an opportunity to work in a particular company or by the manager that wishes to get more information about a specific item. The aim of such a letter is the expression of your interest in a particular company, person, product, or service.

To help you write a compelling letter of interest, we will share with you samples on our website. In this article we will look through several inquiry letters for such occasions:

– a student that is applying to a course;
– a person that wishes to book a room in a hotel;
– a student that is referring to a grant program;
– a manager that needs to receive detailed information about the product;
– a person who has a strong desire to work in the company.

You can use the sample as a template for your own paper, copy and paste the most interesting phrases and words into your letter, or apply the letter structure to your writing.

Letter of Intent Sample: Whom to Address the Letter

Let’s face the fact. People like when they are addressed by name. When you mention the person’s name, you establish more personal contact. It is about human nature. When you call someone by name, he or she experiences positive feelings.

Try to get the information about the person’s name. Look through the company’s website or visit the LinkedIn page. If you know someone who works in this company, you can ask whether they know who you can address to. For example, if you are going to write an inquiry letter for a job position you can search for the contacts of the hiring manager or human resources manager.

Write the full name of the person in the salutation: “Dear John Brown” or “Dear Mr. Brown,” for example. If you can’t find the name, you can use the following phrases: “To Whom It May Concern,” or “Dear Sir or Madam.”

Tips to Write a Good Letter of Interest Sample

  • Don’t use the same letter for various purposes. Always start writing a new letter each time you write a letter of interest. This will help you increase the chance to catch the reader’s attention with a personal approach.
  • Always convert the file in accordance with the employer’s requirements. If there
    are no requirements, it is common to convert the file of your letter into .pdf format.
  • Make your letter no more than one page long. Save the reader’s time and write a concise text that will be quick and easy to read.
  • Avoid negative statements in your text. Your letter should be full of optimism, enthusiasm, and positive affirmations.
  • Make your text interesting. Expand your vocabulary and create different sentences. It may happen that your text will be full of “I” statements. Think about how you can say the same sentence in other words.
  • If you were asked to address a certain issue in your paper, don’t forget to mention it in the letter.
  • Provide information about the follow-up. Tell the reader what you expect him or her to do at the end of the letter. For example, you can write that you are going to follow up the letter in a week, or ask the reader to contact you if they have questions.
  • Write a concise and eye-catching email subject line. The reader should easily understand what the letter is about and be interested to read it.

Letter of Intent Sample: For Students

If you want to raise your chances for graduate school, you need to know how to write a killer letter of intent. This letter is aimed to create a more personal connection with the committee member and add more information along with your CV. In the letter you need to highlight your intention and motivation to join the program. Also, you need to highlight your core skills and tell why you are the best candidate for a course.

It is advisable to write the letter directly to the committee member. You can find out the member’s name on the official college website or ask students that have already attend the university. If you don’t know the name of the representative of the admission committee, you can write “Dear Director of Admissions” in the greeting.

Letter of Interest Sample for Grant

If you wish to apply for grant funding, writing a letter of interest will be a good idea. Many foundations prefer to read letters rather than grant proposals, as letters usually are short and concise. You need to include the organizational description, state what you need, state how you plan to solve this need, and provide information about other funding sources. Business Inquiry Letter Sample

This type of letter is written for requesting additional information about a company. For example, the manager may request the availability to sell and deliver certain products. Also, you can ask to specify some additional information about a product. For example, you may request the sizing chart or the number of items in one package.

If you are writing to the company for the first time, you can write a neutral salutation, such as “To Whom It May Concern.” Clearly state the purpose of why you are writing.
